New Employee Orientation

New Employee Orientation

All new staff employees are required to attend the 2-day New Employee Orientation program held on campus.   These are the only exceptions:

Employees outside the central Arkansas area, such as the Regional Programs and Kids First.  The department is responsible for their completion of Online Orientation and required payroll/benefit forms.

Employees who are ineligible for benefits due to their less than 50% status, temp status, or student status.   The department is responsible for  their completion of payroll forms and the required training –  either via Online Orientation or by scheduling them to attend pertinent sections of New Employee Orientation.

Contract employees and other non-employees  who are not on UAMS payroll.  The department is responsible for their completion of required modules in Online Orientation – either via Online Orientation or by scheduling them to attend pertinent section of New Employee Orientation.

Faculty and Housestaff (see below)

New Employee Orientation will be held every other Monday and Tuesday.   We also added some additional end-of-month sessions so that employees can timely sign up for benefits and have those start the next month.   You will schedule your employee through SAP, transaction PV00.

Prior to your new employee’s first day, print and provide them with payroll forms and a welcome letter (template below).  The employee may fill out payroll forms beforehand and bring completed forms with them on their first day.  If they will be at New Employee Orientation on their first day, they will present their completed forms to HR at that time.  Otherwise send them to the HR office on their first day to turn in their forms.   [HR reps at the Regional Programs, Kids First and other departments located elsewhere in the state may accept payroll forms.]   This is vital because UAMS must make I-9 employment verification no later than the third business day.

  • Non-benefits eligible (student, a temporary employee, or a part-time employee working less than 20 hours per week)

Tell your new employee to bring two (2) forms of identification with them to satisfy the I-9 employment authorization.  Also, they should bring the names and social security numbers of their spouse and children for their insurance.

New Faculty Benefits Orientation

This orientation is geared specifically for new faculty members and is held at least twice each month. View the HR Calendar to see when the next orientation will be held and schedule them via SAP, transaction PV00.   This orientation only covers benefits and payroll sign-ups (if not already completed).   It is the department’s responsibility to ensure new faculty members complete the required Online Orientation modules.

New Resident / Housestaff Benefits Orientation

This orientation is geared specifically for new Medical Resident/Housestaff members (those who did not attend the special June orientation) and is held twice each month. View the HR Calendar to see when the next orientation will be held and schedule them via SAP, transaction PV00.  This orientation only covers benefits and payroll sign-ups (if not already completed).   It is the department’s responsibility to ensure new residents complete the required Online Orientation modules.
