Q: Why is there a new process for filling positions?
A: As part of UAMS’s collaborative effort with HURON to optimize operational efficiency and identify cost-saving opportunities, one of the focus areas was to implement a standardized review process for filling open positions to ensure optimal allocation of resources across the organization. As a result, the Workforce Position Review Request Process was created.
Q: What do the acronyms WPRR and PMRR stand for?
A: Workforce Position Review Request (WPRR) and People Management Review Request (PMRR)
Q: What is the difference between the WPRR and PMRR Process?
A: Please refer to the table, Linked here.
A: The WPRR is a request to backfill a vacant position or to add a new position to the workforce. This is a request to hire. You will need to obtain this approval before entering a Hiring Requisition, a Create Position or an Edit Position Restrictions action in Workday.
For example, if you are needing to backfill a vacant position in order to meet a workforce need, you would follow the WPRR process.
The PMRR is a request to make a change to existing staff or a filled position.
For example, if you are needing to have Minnie Mouse’s position reviewed for reclassification due to the additional duties that Minnie has taken on, you would follow the PMRR process.
Q: How do I initiate a WPRR request?
A: Complete the online form in its entirety, located in ServiceNow. click here to direct you to ServiceNow to complete the online form. Reminder, this can only be completed on a UAMS network.
Important: This process must be initiated and approved before proceeding with any Create Position, Edit Position Restrictions, or job requisition in Workday.
Q: Who is involved in reviewing my request to fill a position?
A: A committee comprised of the Chancellor, Chief of Staff, Senior Vice Chancellor for Academic Affairs, Provost and Chief Strategy Officer, Vice Chancellor for Finance & CFO, Senior Vice Chancellor & CEO of the Medical Center, Dean of the College of Medicine, Vice Chancellor for Institutional Support Services, and Vice Chancellor for the Division of People and Culture, will meet weekly to review requests.
Q: Do all backfill positions need to be submitted through the WPRR process?
A: Yes, unless it is a pre-authorized title as outlined in the Workforce Review Process Guide.
Q: When will my request be approved?
A: Requests will need to be entered and submitted every Thursday by COB. Approval/denials will be documented on the case by the following Friday.
Q: What is an Approval Confirmation Number and why am I being asked to provide it on my Workday action?
A: The Workforce Position Review process went live 7/1/24. This process was created to monitor headcount by reviewing all proposals to temporarily or permanently fill a new or backfill position. It allows UAMS to track hiring and monitor costs to ensure we operate efficiently and to ensure that our resources are directed towards the institution’s primary mission.
Before initiating a Create Position, Edit Position Restrictions or Hiring Requisition Action in Workday, you must obtain approval through this process. Once approval is obtained, an Approval Confirmation Number will be generated. This number will need to be entered into the appropriate Workday box in order for a Create Position, Edit Position Restrictions, or Hiring Requisition action can move forward.
