The Extended Performance Review (180-Day Evaluation) is defined as a one-time, optional review period that extends the employee’s initial review period up to 180 days (or 6 months) of employment when additional performance monitoring or assessment is needed.
Similar to the Initial (90-Day) Performance Review, the Extended Performance Review applies only to new hires, rehires, and external transfers. External transfers are employees transferring within the University of Arkansas System from another institution or campus but new to UAMS.
The Extended Performance Review is optional and should only be used when needed. An extended review may be appropriate when additional time is needed to evaluate an employee’s performance, conduct, ability to meet job expectations, or overall suitability for the position.
Certain positions, departments, or employee circumstances may warrant additional review during the first 180 days of employment. If an extended review period is a standard practice for all employees in a particular position or department, this should be clearly documented in the Workday review template.
Important Requirements
- The Initial 90-Day Evaluation must be completed within the required timeframe before an Extended Performance Review can be initiated.
- Following completion of the 90-Day Evaluation, the manager should meet with the employee to discuss the review, communicate expectations, and establish a follow-up meeting near the employee’s 180th day.
- The manager should document the decision to extend the review period and the planned follow-up in the comments section of the 90-Day Evaluation.
- Managers should continue to provide feedback, coaching, resources, and support throughout the extended review period.
Note: The Extended (180-Day) Evaluation template will not automatically launch in Workday. The manager or OHR must manually trigger this template once the employee reaches 100 days of employment to complete by the 180th day of employment. It will not appear in the drop-down list beforehand.
Initiating the Extended Performance Review in Workday
- From the employee’s profile, select Performance.
- Select Start Performance Review.
- Under Review Template, select 6-Month Check-In.
- Complete the review according to the instructions provided in the template.
- Document the employee’s performance, progress, areas requiring improvement, and expectations for successful completion of the extended review period.
- Meet with the employee to review the evaluation and expectations.
- Continue to document performance or conduct concerns using the Counseling Session Form, as appropriate.
Important: Employees should not receive formal disciplinary action during their initial review period. However, employees remain subject to termination during this time when circumstances warrant such action.
Managers should consult with their HR Business Partner before taking action related to significant performance or conduct concerns to ensure appropriate guidance and consistency with applicable policies and procedures.
